5. What Personal Data Do You Collect and How?
Data collected automatically (technical data)
When you visit Our Site, we may automatically collect: IP address, browser type and version, device and operating system details, pages visited, referring/exit pages, timestamps, and similar diagnostic logs.
H5P Interactions: If you engage with interactive content powered by H5P plugins, we collect data such as user ID (or anonymous session ID), timestamps, scores, and saved content states to enable functionality like progress tracking and resume features.
Embedded YouTube Videos: When you view or interact with YouTube videos embedded on Our Site (including within H5P content), YouTube may collect data such as your IP address, device information, and interaction details. This data is processed by Google under its own Privacy Policy: https://policies.google.com/privacy.
We retain personal data only for as long as necessary for the purposes described in this policy.
Data you choose to provide
If you register to access the Downloads page, we collect your contact details and any additional information you provide in the registration form.
If you complete the feedback form on any PowerPack page, we collect the information you include in the text box and the star rating you provide.
If you email us, we collect your name, email address, and any information you include in your message. If you send us a case study, testimonial or example of how you used our resources, we collect your name, email address, optional role/affiliation, and the content you submit. If excerpts from your case study or testimonial were to be published, the content may be displayed on Our Site and in related communications. However, we will never publish your name or affiliation without your permission, and would take all reasonable efforts to ensure that the details in your case study or testimonial would not identify you personally. The lawful basis under the Data Protection Legislation that allows us to use such information is article 6(1)(f) of the UK GDPR which allows us to process personal data when it is necessary for the purposes of our legitimate interests, in this case, the proper operation and functionality of Our Site.
We rely on legitimate interests for responding to enquiries and consent for publishing case studies and sending marketing communications. You can withdraw consent at any time.
PowerPack Selector Bot (AI Chatbot)
Our “PowerPack Selector Bot” is designed to help you navigate resources on Our Site. If you use it, we may collect:
a) All text you enter (queries/prompts);
b) Limited technical data (e.g., IP address, session IDs, timestamps, interaction logs) to deliver the service and maintain security.
Important: Do not submit personal, sensitive, or confidential information via the chatbot.
The chatbot is powered by Botpress, a third-party service. Conversation data may be stored on servers located in the United States or other locations determined by us as the customer. Botpress processes this data under its own Privacy Policy and Terms of Service. Please review:

f) Provide interactive learning experiences, such as through embedded H5P activities (legitimate interests);

We do not use your personal data for automated decision‑making that has legal or similarly significant effects.

7. How and Where Do You Store My Data?
We store personal data using reputable service providers and implement appropriate technical and organisational measures to protect it against unauthorised access, loss, or disclosure.
We may store some or all of your personal data in the UK. This means that it will be fully protected under the Data Protection Legislation.
We may store some or all of your personal data within the European Economic Area (the “EEA”). The EEA consists of all EU member states, plus Norway, Iceland, and Liechtenstein. This means that your personal data will be fully protected under the EU GDPR and/or to equivalent standards by law. Transfers of personal data to the EEA from the UK are permitted without additional safeguards.
We may store some or all of your personal data in countries outside of the UK. These are known as “third countries”. We will take additional steps in order to ensure that your personal data is treated just as safely and securely as it would be within the UK and under the Data Protection Legislation. If you use the “PowerPack Selector Bot”, processing of your personal data may occur in the United States, where Botpress hosts infrastructure. In such cases, we implement appropriate safeguards (e.g., Standard Contractual Clauses) to ensure your rights are protected.
8. Do You Share My Personal Data?
We will not share any of your personal data with any third parties for any purposes, subject to the following exceptions:
a) When republishing content from case studies and/or testimonials that you might voluntarily share with us, as described above in ‘Data you choose to provide’.
b) When publishing the results of any research and evaluation of Our Site, and wherein your data have been combined with those of other users in ways that ensure your anonymity.
c) If we sell, transfer, or merge parts of our business or assets, your personal data may be transferred to a third party. Any new owner of our business may continue to use your personal data in the same way that we have used it, as specified in this Privacy Policy (i.e. to communicate with you).
d) In some limited circumstances, we may be legally required to share certain personal data, which might include yours, if we are involved in legal proceedings or complying with legal obligations, a court order, or the instructions of a government authority.
e) If you use the “PowerPack Selector Bot”, your personal data will be processed by a third party (Botpress: see Part 5; governed also by Botpress’s own policies).
f) If any of your personal data is transferred to a third party, as described above, we will take steps to ensure that your personal data is handled safely, securely, and in accordance with your rights, our obligations, and the third party’s obligations under the law, as described above in Part 7.
9. How Secure is My Personal Data?
We implement appropriate technical and organisational measures to protect personal data. However, no system can be guaranteed to be 100% secure.
10. How Can I Access My Personal Data?
If you want to know what personal data we have about you, you can ask us for details of that personal data and for a copy of it (where any such personal data is held). This is known as a “subject access request”.
All subject access requests should be made in writing and sent to the email address shown in Part 11.
There is not normally any charge for a subject access request. If your request is ‘manifestly unfounded or excessive’ (for example, if you make repetitive requests) a fee may be charged to cover our administrative costs in responding.
We will respond to your subject access request within not more than one month of receiving it. We will aim to provide a complete response, including a copy of your personal data within that time. In some cases, however, particularly if your request is more complex, more time may be required up to a maximum of three months from the date we receive your request. You will be kept fully informed of our progress.
We support export and deletion of H5P interaction data upon request, in line with GDPR requirements.
